Search & notifications
Two features keep you on top of a busy tracker: powerful search with reusable filters, and notifications that tell you when work touches you.
Search
Open Search to find issues across projects with a full-text query — search by words in the summary and description, by key, and narrow down with structured filters such as project, status, assignee, labels and date ranges.
Results respect your permissions: you only ever see issues in projects you have access to.
Saved filters
Turn a search you run often into a saved filter:
- Build the search with the query and filters you want.
- Save it with a name.
- Reopen it any time from your saved filters.
A filter can be kept private or shared with everyone. Saved filters are handy for personal views ("my open bugs"), team views, or as the basis for a Service Desk queue.
Search availability
Full-text search is a feature your administrator enables, and it needs its search service running. If the Search page is missing, or results come back empty on an instance that clearly has data, ask your administrator to check the feature and its index.
Notifications
TaskFlow notifies you when something relevant happens — so you don't have to watch every issue manually.
What triggers a notification
You're notified when you are:
- the assignee or a co-assignee of an issue that changes,
- a watcher of an issue that changes,
- mentioned in a description or comment,
- the reporter of an issue that gets activity.
Events include new comments, field updates and status transitions.
Due-date reminders
Separately from event notifications, TaskFlow can remind you that an issue's due date is approaching. You choose how many days ahead you want the warning, so the reminder arrives while there's still time to act rather than on the morning it's due.
Delivery channels
The same notification can reach you in four ways, and you choose which:
| Channel | What it looks like |
|---|---|
| In app | The bell in the top bar, with a live unread count. Open it to read, filter to unread only, and mark items — or all of them — as read. |
| The same notifications in your inbox, for when you're away from the app. | |
| Telegram | Messages from your organisation's bot. Link your account once with a one-time code from your notification settings. |
| Outgoing gateway | Your administrator can route notifications to an external system — a chat platform or an automation tool such as n8n. |
Notifications are written in your profile language, not the language of whoever triggered them.
Contact channels need consent
Channels that reach you outside the app are opt-in. An administrator makes a channel available; you decide whether to switch it on for yourself and which contact details it may use.
Notification preferences
Your Notifications page is where you tune all of this: which events reach you, through which channel, how far ahead due-date reminders come, and the Telegram link. Set them so you're informed about what matters without being overwhelmed.
Watchers vs assignment
You don't have to be assigned an issue to follow it — watch any issue you care about and you'll be notified about its changes. See Watchers.
